When Covid-19 meant ERIC, the children’s bowel and bladder charity, couldn’t hold its successful Paediatric Care Conference, it asked E4H to recreate the live event as an eConference.

As experts in digital medical education working with charities, health organisations and the pharmaceutical industry, E4H was quick to identify the needs of organisations to take their events virtual. So when the team were approached by Jackie Fuidge, Learning and Development Manager at Eric they drew on their production and digital expertise, alongside their project management team to seamlessly move the ERIC eConference online, from a live all day meeting to an online full day meeting.

Working closely with the Jackie, E4H selected its most appropriate team to organise the eConference.

The brief

  • Full day of learning: 8am to 5pm
  • 15 speakers across 18 sessions
  • 4 parallel breakouts with real time discussion and live Q&A
  • Presentations, demonstrations and workshops
  • Networking for peer to peer engagement
  • 12 exhibitors and sponsors
  • Up to 500 delegates

Delivering the event

With numerous speakers to co-ordinate and multiple streams running concurrently, the E4H team set about mapping the agenda for the most effective delivery. They concluded that a mix of pre-recorded and live sessions with a live Q&A for each presentation would enable the event to run smoothly and encourage audience engagement through the live Q&As for maximum learning opportunities.

E4H arranged and undertook pre-recording of relevant sessions and fully briefed all speakers on the platform and technical aspects of their involvement. The team delivered the event seamlessly with production support, vision mixing, troubleshooting and technical support. All presentations transferred to on-demand following their live broadcast and the platform remained on-demand for 2 weeks where delegates could also download the slides.

To ensure exhibitors received a clear return on their investment, they were allocated their own networking ‘tables’ with personalised content as well as a virtual exhibition stand to network with attendees and discuss their products and services. Exhibitors included pharmaceutical companies, and the E4H team supported them with all aspects of approval and compliance.

Chat, meeting and networking functionality offered attendees, speakers and exhibitors valuable networking opportunities including face-to-face video chat.
